How to Create a Project in ChatGPT (and Why It Changed How We Work)

Here is a real, everyday habit that’s made life a lot easier for me and for our team at Tracsoft. I’m not talking about chasing some shiny new tech or blindly hopping on a trend. This is about how we actually use AI in a way that makes a difference, not just for us, but for the people we serve.

If you’ve ever wondered how to create a project in ChatGPT, or what that even looks like for a real business, maybe this peek behind the curtain will give you a few ideas for your own workflow.

Why Even Create a Project in ChatGPT?

Here’s the short version: I use AI, and especially ChatGPT, every single day in our business. Our team does too. It’s not just because AI is the “hot” thing. It’s because it’s become a genuinely helpful part of our routine. At Tracsoft, we believe in making things simpler, not more complicated (Work smarter, not harder).

OpenAI says that the Project allows your business to organize files and information that will optimize your business.

But there’s a trick to it. It’s not just about opening a chat window and firing off random questions. To get real value, you need to systematize how you work. We use a “project” that acts as your workspace inside ChatGPT.

How We Set Up a Project Workspace

Whenever I’m in ChatGPT, I set up a Project for every client we work with. Every conversation that relates to our business—marketing, strategy, brainstorming, writing case studies, you name it—lives inside that project. It’s a little like having a digital whiteboard, where everything connected to a topic stays together, organized and easy to find.

The big advantage? You don’t have to reinvent the wheel every time. When you create a project in ChatGPT, you can actually give it its own instructions and upload all your important files. When you begin a new chat, all of those documents and instructions are added to the context window. That information is used in the chat to keep the conversation moving in the right direction.

For me, that means our vision statements, yearly goals, social media strategies, brand guidelines, client personas—pretty much every document that keeps Tracsoft moving in the right direction.

This setup is a game changer for consistency. It’s like having a teammate who already knows your backstory, your style, your goals, and (honestly) your quirks.

Getting ChatGPT to “Sound Like Us”

Now, here’s where it gets interesting.

I’ve spent time building up a list of instructions for our ChatGPT project. It’s not just “be professional.” It’s stuff like: what words and phrases to avoid, what kind of personality to use in the writing, and even what sort of mistakes or little hesitations make it feel real, not robotic. If you’ve read much AI-generated content, you know it can feel… well, soulless. I wanted our content to feel like us—the Tracsoft voice that’s warm, honest, and (I hope) a little bit encouraging.

So, whenever I ask ChatGPT for help—a blog post, website copy, a quick brainstorm for a new campaign—it gets the voice right. No more generic, “dear valued customer” answers. It knows the heart of our business, and it speaks our language.

Do I still have to review and edit what comes out? Sure. In fact, that’s kind of the point. The heavy lifting is done for me, so I can spend more time tweaking, improving, and focusing on what actually matters—serving our clients and helping them grow.

What’s the Real Benefit?

AI, when you set it up with intention, doesn’t just make things faster. It makes your work better. It keeps you in your own voice, focused on your mission, and it cuts down on a lot of that little busy work that eats away at your day. It lets you multitask while staying productive.

And honestly, it helps us serve our clients better, because everything stays consistent—our advice, our style, even our tone. I think that’s something our clients notice, whether they’re reading a proposal, a social media post, or a case study on our website.

So, How Do You Create a Project in ChatGPT?

If you’re curious about how to create a project in ChatGPT for your own business, here’s the quick rundown (no jargon, promise):

  1. Start a New Project: In ChatGPT, look for the “Projects” section on the right side of the panel. Start a new project for your business or your main area of focus.
  2. Set Your Instructions: Think about what you want AI to “know” about your business. That could include your brand voice, your goals, the style you like, words to avoid, and any pet peeves. Write this out clearly in the instructions section. If you would like to see the Instructions we use, we have a Google Doc you can access.
  3. Upload Key Documents: Add all your important files—brand guidelines, mission statements, strategies, templates, examples of your best work. The more context you give, the more the AI can tailor its responses to your needs.
  4. Keep Everything Together: Whenever you have a new chat about your business, marketing ideas, blog drafts, proposal writing, do it inside this project. It keeps everything organized and means you’re always working with the same “knowledge base.”
  5. Review and Refine: Don’t expect perfection right away. Review what ChatGPT gives you, make your edits, and add your feedback back into the project instructions. It gets better over time, just like a real teammate would.

A Use Case

We have a project setup for Pinion Brands, one of our digital marketing clients. We have helped develop a brand strategy, marketing strategy, ideal client persona, and manage web and social media.

We are actively developing marketing campaigns to grow the business. A way that we optimize is with a ChatGPT project. The project has all of the documents that define the brand and business direction.

They recently rolled out a new series of products. In creating the products, we needed to ensure we had SEO titles and engaging descriptions that connect to the ideal customer.

We used the ChatGPT project with a tailored prompt to generate the titles and descriptions. The output was perfect for the products. It made the process more efficient.

Some Quick Advice

Maybe you’re not sure if this is worth the time. I’ll just say: it’s been worth it for us. Creating a project in ChatGPT didn’t just help us go faster—it helped us sound more like ourselves, serve our clients better, and honestly, made work more fun. It’s not about chasing technology. It’s about using it as a tool to support your mission and your team.

And who knows, maybe it’ll save you from a few late nights, too.

Frequently Asked Questions for ChatGPT

What’s the difference between a “project” in ChatGPT and a regular chat?

A project in ChatGPT acts as a workspace where you keep all related conversations, files, and instructions together. It’s a home base for everything about your business or a specific topic, while regular chats are more like one-off conversations that don’t remember your context.

What should I include when setting up a ChatGPT project for my business?

Start with your brand guidelines, mission statement, goals, and any instructions on how you want your brand voice to sound. Add in key files—like client personas, strategy docs, or case studies. Basically, anything you want ChatGPT to “know” and use to keep responses on-brand.

Can I really trust ChatGPT to sound like my business?

With the right setup—clear instructions, uploaded documents, and a little bit of training—it gets surprisingly close! We always review and refine the results, but using a project makes it much easier to keep everything consistent and on-message.

Is this just for big teams, or can a solo entrepreneur benefit too?

Honestly, both. Even as a one-person business, setting up a ChatGPT project can save time, reduce repetitive tasks, and help keep your content feeling like “you.” For teams, it’s a lifesaver for consistency.

What’s the first step if I want to try this myself?

Open ChatGPT, start a new project, and write down a few instructions about your voice and goals. Then, upload one or two key files you reference often. Try a simple prompt, like “Write a social post about our services”—and see how it feels. Adjust as you go.
