1. Business Basics

This form must be completed before we schedule the date to setup your AI Cowork. It takes about 15–20 minutes and allows us to build everything during our time together rather than spending it asking questions. The more detail you provide, the better your system will perform.
The full legal or trading name you use with customers.
E.g. “Jane Smith, Owner” or “Marcus Davis, Executive Director”
E.g. “Residential HVAC contractor”, “Nonprofit food pantry”, “Independent insurance agency”
Be specific — “Columbus and Phenix City” vs just “Georgia”
The URL of your business website.
Write this the way you’d explain it to a stranger at a networking event — not a formal mission statement.
This becomes the foundation of your CompanyHQ business context file. Every AI response your system generates will be grounded in this description.

Your Ideal Customer

Your Chief of Staff and all content agents need to know exactly who they’re speaking to. Vague audience descriptions produce generic output.
Age, profession, situation, what they care about, what keeps them up at night. The more specific the better.
What were they struggling with before they found you? What does life look like after working with you?
Price, timing, trust, alternatives — what do they hesitate about?
Copy from actual reviews or testimonials if you have them, exact words are gold.

Brand Voice & Personality

Your brand voice file is the guardrail that keeps every AI output sounding like you, not like a generic marketing robot. This section is one of the most important in the entire form.
How would you describe the tone of your brand?
Select all that apply, or describe in your own words below.
Imagine your best employee writing an email on your behalf. What would make you say “yes, that sounds exactly like us”?
Things that feel off-brand, overly salesy, or that don’t reflect your values.
E.g. “no jargon”, “real results”, specific industry terms you use, phrases that feel like you.
A blog post, email, social post — paste a link or copy the text. We’ll use it as a voice reference.

Your Daily Work & Priorities

Your Chief of Staff filters and prioritizes your daily brief based on these goals, so urgent emails about a low-priority topic don’t crowd out what actually matters. Remember, more details the better.
Walk us through morning to end of day. What do you spend most of your time on? What do you wish you spent less time on?
E.g. “Get 5 new clients this quarter”, “Launch our new service”, “Reduce time spent on admin tasks”
Gmail or Outlook? Provide the email address. We’ll walk through the connection in the session.
What calendar(s) do you use?(Required)
HubSpot, Salesforce, GoHighLevel, etc. If you don’t have one, just say “no CRM” — that’s fine.
E.g. client follow-ups, vendor invoices, scheduling, questions you answer repeatedly.

Online Presence & AI Visibility

Do you have a Google Business Profile?(Required)
Which social media platforms are you active on?(Required)
Word of mouth, Google search, social media, referrals, be honest about what’s actually working.
This helps us calibrate your AI visibility audit and know what “winning” looks like for you specifically.
